Kellogg Foundation, as well as the General Motors Corporation and a new gift of $150,000 from Comcast Corporation, we are within $45,748 that we must raise to qualify for $2,200,000 in campaign completion challenge matching funds. We need your help immediately! As Bill and Dottie have so clearly articulated, at this point in the campaign we are pursuing personal contacts that can make a pledge by December 31, 2003, without having to go through a timely and complicated proposal submission process. We obviously do not have the luxury of time for the traditional proposal submission process. Organizations that fail to address them limit their success in terms of reaching their goals. How many exist within your MNA? 1. "If we need a million dollars, all we need to do is get 1,000 people to give us $1,000 each." Creating "grass-roots" campaigns will usually only work in projects where there are a pre-determined number of prospects - memberships, churches, etc. In most community campaigns, the concept of equal sacrifice (wealthier people give more than less wealthier people) must be used to insure reaching goals. 2. "There is no way 'Mr. Smith' will make a gift to this campaign ... he doesn't give!" There is a tendency to assume certain prospects won't give, but a true campaign builds the campaign atmosphere and leadership confidence necessary to have a reasonable expectation most people who are asked, correctly, will give. Outside counsel should base decisions on capability ... and then determine willingness. 3. "Let's do the first part, and then see how that goes before we decide how to do the rest of it." A key to virtually every campaign is a comprehensive, yet flexible, campaign plan that shows the path to reaching a pre-determined goal. Unless an organization has a blueprint for success a campaign really can't succeed. 4. "There is no way I can ask anyone for that much money." Major gifts are critical to a campaign's success. Many people, and companies, are committed to making their community a better place by making what are, to many people, an extraordinary gift. If you don't ask for a major gift, most prospects will never think to make one. Remember, 80% of the funds you raise will come from 20% of your donors. This is true in virtually every successful campaign. Proper training by experienced counsel can ensure that gift levels are at a maximum and the solicitation is conducted properly. 5. "I'm donating my time, I shouldn't have to make a sacrificial, or any other type of, gift." If the very people closest to the organization- the ones who should be most committed - don't make gifts, then why would anyone else? Board members in particular are important. Even if no single individual can make a major gift, often times the Board of Directors as a group can make the leadership gift. 6. "This campaign will last until its finished ... even if it takes years!" �A solid timetable, with built-in "mini-goals", is cmcial in order to keep a campaign moving. Built in "pressure points" will help create faster decisions from prospects and keep leaders focused on the campaign. Most importantly it will avoid the campaign "dragging on". 7. "We raise a lot of money every year, we can easily do a capital campaign." Capital campaigns are different. You are asking people to buy into your vision, not just your immediate goals. You are asking them to make multi-year commitments to your cause and that requires a special level of commitment. Often times it is harder for donors to see the need for bricks and mortarespecially if your normal fund raising is centered on social services needs. 8. "We can save a lot of money by "piggybacking" on our current development efforts." Campaigns are different. A unique theme, materials, style and plan must accommodate these differences. The campaign must become the focus of the organization's efforts. 9. "We have to get a lot of publicity. Once people know why we need this money, people will gladly give." Actually, news articles and television reports are not extremely helpful in raising money. People are inundated with emotional appeals and are not generally moved to make major gifts because of press accounts. Newsletters and personal letters are most effective in reminding already solicited prospects they need to make a decision. Publicity must be a part of the overall campaign plan and is not a substitute for good planning and implementation. 10. "Fund raising counsel is too expensive. Our own staff can do it and we have a couple of board members who have been chairpersons of some other campaigns. Campaigns managed by counsel usually raise more money than campaigns mn without counsel. For the most part, counsel-driven campaigns take less time, use leaders more effectively and the total cost (expenses plus fees) is usually less than 10-15% of the funds pledged. In 1989, The Michigan ~ If Campus Compact was created to promote service learning through opportunities provided by institutions of higher education. A few months later, a small group of community-based volunteer centers joined hands to form the Volunteer Centers of Michigan. A year later, the .nAJu--o Michigan Nonprofit Association (then known as the Michigan Nonprofit Forum) was created to • ~iJ)..(R;q:"~ strengthen the nonprofit sector and advance volunteerism and philanthropy. Finally in 1991 , newly elected Governor John Engler created the Michigan Service Commission by Executive Order. *{)_ ~ Over the years, all four organizations have worked in collaboration with one another. In the mid 90's, the Volunteer Centers of Michigan and the Michigan Campus Compact entered into partnership with the Michigan Nonprofit Association, strengthening all three organizations and saving administrative costs. More recently, the Michigan Nonprofit Association (and its two affiliates) and the Michigan ~ Community Service Commission have made concerted efforts to form a partnership that would I}~ 'Ar"'join all four organizations. These efforts have been motivated by the need for a sustainable ,, -.~- i1~ ~:;. ~ support system for existing and developing volunteer initiatives, the desire to not duplicate f.J~· ~ efforts, and the potential changes in federal programs that support volunteerism. • ~ I}IG In this model partnership, the Michigan Nonprofit Association and the Michigan Community Service Commission will remain separate entities focusing on their current missions and a new organization, Connect Michigan, will be formed to merge their common activities. This unique concept has received support from sector leaders and partner organizations t ~ ~ ~ ~~ Thoughtful Approaches to Community Service The four organizations included in this new partnership provide programs and services that impact volunteers of all ages. These programs and services have been thoughtfully considered and implemented to promote civic responsibility statewide. Michigan Campus Compact Mission Michigan Campus Compact is a coalition of Michigan's university and college presidents whose Purpose is to facilitate, on their campuses, a commitment to community service th at will lead students to develop a life-long service ethic and will promote service-learning in the curriculum. The Michigan Campus Compact is part of a national coalition of college and university presidents created in 1985. At the time, college presidents were growing concerned with the media portrayal of students as materialistic and self-absorbed. , M'-~;,. · �The founding presidents of the national coalition believed this media image to be false from their firsthand knowledge of the volunteerism supported by their students. They believed that many students were involved in community service and many more would become involved if community service was encouraged as part of the higher education experience. The Michigan Campus Compact was founded early in the national movement, spearheaded by Michigan State University President John DiBiaggio. Today, many college and university presidents throughout Michigan are involved and committed to providing service learning opportunities to college students. Fifteen years later, the national coalition is rapidly growing, and Michigan is no exception. Michigan has 32 campuses involved in the Michigan Campus Compact engaging students in volunteer service and providing the lessons derived from serving the community. Funded through membership fees and grants, the Michigan Campus Compact provides venture grants to colleges and universities to provide community service opportunities in the classroom, faculty fellows grants to instructors researching the impact of community service in learning, and technical assistance to colleges and universities developing programs on their campuses. Volunteer Centers of Michigan Mission Volunteer Centers of Michigan is dedicated to mobilizing people and resources to deliver creative solutions to community problems. The Volunteer Centers of Michigan is part of the Volunteer Center National Network working in partnership with the Point of Light Foundation to meet volunteer needs in 450 communities nationwide. The Volunteer Centers of Michigan achieves their mission by offering programs and services that connect people with opportunities to serve, building capacity for effective local volunteering, promoting volunteering, and participating in strategic initiatives that mobilize volunteers to meet local needs. The Volunteer Centers of Michigan has 29 local community Volunteer Centers with many more in development. These local programs impact volunteers by providing them with volunteer opportunities matched to their skill and interest level and impact organizations by providing them with appropriate volunteers for their tasks. The statewide Volunteer Centers of Michigan provides technical assistance to the local volunteer centers through retreats, training, funding, and consultation to strengthen their capacity to provide meaningful volunteer opportunities in their communities. Michigan Nonprofit Association Mission The Michigan Nonprofits Association 's mission is to promote the awareness and effectiveness of Michigan 's nonprofit sector, and to advance the cause of volunteerism and philanthropy in the state. The Michigan Nonprofit Association represents and serves nonprofit organizations located in rural communities, suburbs and metropolitan areas throughout Michigan. The membership of the organization ranges from nonprofits providing services to the homeless to arts councils. Numerous affiliates and foundations belong to the Michigan Nonprofit Association that are interested in the advancement of the nonprofit sector. �Funded, in part, by the Kellogg Foundation and the C.S. Mott Foundation, the Michigan Nonprofit Association provides services and technical assistance to its members including conferences and trainings build organizational capacity, cost -effective insurance coverage for nonprofit organization employees, public policy updates, mini-grant funding to support volunteerism, and the annual Compensation and Benefit Survey. The Michigan Community Service Commission Mission The Michigan Community Service Commission is dedicated to enabling all citizens, including youth, to engage in public problem solving through service and volunteerism. The Michigan Community Service Commission was created in Governor Engler in 1991 -by— Executive Oniec. The organization provides-serves as a grantmaker for local programs, administers national service programs and leam and serve programs, and provides training for grantees. Among the organization's programs and services is America's Promise: The Alliance for Youth, created by General Colin Powell in 1997 to recruit youth volunteers and provide America's youth with the essential resources to become healthy and productive adults. Michigan's Promise is the state's response to the national America's Promise effort. Launched in Lansing in 1997, Michigan's Promise charge is to provide services for children including an ongoing relationship with a caring adult mentor, access to safe places and structured activities during non-school hours to learn and grow, a healthy start, a marketable skill through effective education and an opportunity to give back through community service. Connect Michigan Begins Connect Michigan, the new, dynamic organization created by the merger of the common programs of these four entities will centralize state-level volunteer and service programming efforts in a manner that will ensure the long-term sustainability of these important programs. Connect Michigan will administer the programming and technical assistance now administered by the individual programs creating synergy and economies of scale. Connect Michigan will be funded, in part, by an endowment created to ensure its long-term sustainability and the development of new and innovative programs designed to promote volunteerism and service learning throughout Michigan. Funding The current vision is to secure $20 million in endowment funds from two funding streams. The State of Michigan has provided $10 million to initiate an endowment to continue their commitment to volunteerism in Michigan in perpetuity. The endowment will be housed in the George W. Romney Fund for Volunteerism and will provide $500,000 annually to help sustain administration, services and programming at their current level. An additional $10 million will be sought to match the State's commitment, also housed in the George W. Romney Fund for Volunteerism. This additional $500,000 generated annually from the endowment will complete the current sustainability funding formula as well as provide $250,000 annually to create enhance and expand current programs and services and to develop new, innovative programs. �Funding Enhancements The additional revenue annually would serve to enhance programs and services in Connect Michigan in the following ways: Michigan Campus Compact Enhancement funds will allow the Michigan Campus Compact to provide new venture grants to colleges and universities to increase volunteer opportunities in the classroom, and to provide new faculty fellow grants to increase research in service learning. And, the organization has 32 members of 91 colleges and universities in Michigan. Additional funding will supply the funds necessary to expand the organization to 60 colleges and universities, increasing volunteer opportunities to 10,000 more college students annually. Increased funding will also provide more staff professional development and greater training opportunities for member colleges and universities. The Volunteer Centers of Michigan. Increased funding will enable the Volunteer Centers of Michigan to strengthen the capacity of their local community members. In addition to assisting in the creation of 10 more local community volunteer centers, creating as 5,000 new volunteer opportunities, Volunteer Centers of Michigan, will also be able to provide additional funds and training to current members to increase their impact in their local communities. Michigan Nonprofit Association With increased funds, the Michigan Nonprofit Association will be able to increase its Resource Library for nonprofit organizations, assisting in strengthening the capacity of nonprofit organizations statewide. Will ConnectMichigan Alliance (CMA) increase access to hotlines for volunteer use and will CMA result in an increase in the level of volunteerism in Michigan? Over the past fifteen years, a significant amount of human and financial capital has been invested in the development and nurturing of an ethic of service and volunteerism in communities throughout the state. And a significant return has been realized on the investment as evidenced by Michigan Giving and Volunteering 2001 which estimates volunteerism in Michigan at 50.2% annually. To date, Michigan's success in engaging people civically is the result of vision and focus as most of what has been accomplished has been stewarded by organizations that target specific Michigan populations. For example, some groups focus on post-secondary students while others focus on engaging people in a specific community. These systems generate positive results, but they also operate independently of each other which minimizes the potential return on Michigan's investment in service and volunteerism. Leaders of these initiatives realized that they have had an incredible impact on the quality of life in communities throughout the state. They also realized that they had come to a point in their efforts that required them to change their approach if they were to realize the true potential of Michigan in terms of service and volunteerism. ConnectMichigan Alliance (CMA) was created by key stakeholders in Michigan's service and volunteer initiatives and was given the mandate and onus to increase the return on investment in service and volunteerism in Michigan. While the CMA campaign is still in process, several key initiatives to increase the level of service and volunteerism are already underway. • • CMA is expected to increase service and volunteerism in Michigan by being the first statewide organization to facilitate a 211 line for volunteerism. While other 211 initiatives exist, they served only limited geographic areas. CMA will bring this resource to the entire state. CMA is the only statewide organization working with all three of the major internet-based volunteer matching programs: Volunteer Here (C. S. Mott Foundation), Volunteer Match (Volunteer Centers of Michigan), and Volunteer Solutions (Michigan Association of United Ways). CMA's coordination of the service delivery will increase access to include Michigan's 36 counties not currently being served by a local Volunteer Center (currently 47 of Michigan's 83 counties are served by a local Center). Thousands of people who were previously unable to use this resource to match themselves appropriately with service and volunteer opportunities in their communities will now be able to do so.. .CMA estimates volunteerism in Michigan will increase from 50.2 percent in 2000 to 65 percent in 2004 as a result of this and other CMA initiatives. �What are some concrete initiatives resulting from CMA: The following strategies have been developed to impact the four areas of need CMA will address as it works to forward its mandate and mission: • Community Volunteerism CMA supports and enhances the work of Volunteer Centers serving communities throughout the state. CMA will work with local Volunteer Centers, United Ways, and other local nonprofit organizations whose activities contribute significantly to improving the quality of life for residents of Michigan communities. Through this CMA initiative Michigan communities will increase their capacities to develop new and strengthen existing collaborative partnerships between K-12 schools, institutions of higher education, Volunteer Centers and youth serving nonprofit organizations for the purpose of providing quality volunteer and service-learning experiences for young people. This will be accomplished via the following programs and services, as well as programs and services that will be developed as relationships are formed and further needs are identified: Youth Volunteer Opportunities K-12 Service-Learning Local Grants YES Ambassador Program Service-Learning Support • Higher Education CMA, through its Michigan Campus Compact affiliation, has a longstanding tradition of supporting the service-learning initiatives of institutions of higher education serving Michigan communities. What impact will CMA have on youth (preparing tomorrow's leaders)? CMA creates a whole new synergy among stakeholders in Michigan's volunteerism and service industry, particularly in the area of youth civic engagement. Operating in isolation, stakeholders have minimal impact on creating opportunities for all Michigan youth to realize their full potentials to serve and lead. CMA promotes formal and informal partnerships between local, state and national stakeholders that ally human and financial resources toward civically engaging all of Michigan's more than 1.7 million K12 student population. Major institutions (hospitals, universities, etc.) make use of counsel during campaigns even though they employ highly paid, experienced staff and usually can attract experienced volunteer leadership. They know campaigns require a special effort the special skills of outside counsel. Campaigns managed by counsel usually raise more money than campaigns run without counsel. For the most part, counsel-driven campaigns take less time, use leaders more effectively and the total cost (expenses plus fees) is usually less than 10-15% of the funds pledged. Experienced staff is helpful, but can they do their normal responsibilities and conduct a major campaign? Experienced fund raising volunteers are important but no substitute for the efforts of an experienced manager to make sure a solid campaign plan is in place and executed. Besides, it is usually the campaign director motivating the volunteers. Types of Fund Raising Counsel There are several types of fund raising consulting options available to non-profit organizations. Consulting Firms - These firms usually provide the most comprehensive consulting services for major campaigns. Services range from having senior executives do periodic consultations with organizations (a service usually reserved for major institutional clients such as hospitals and universities) to fulltime resident counsel. Resident Counsel, usually a younger person who works under the direct supervision of an executive, moves to your city and works completely for your organization. Most consulting firms charge on a flat fee basis based on the time and service provided. Almost none work on a percentage basis. The more service required, the higher the fee. In almost every circumstance, a resident director firm will cost more than an executive consultant firm. There are relative strengths and weaknesses to each. Be certain to interview EVERYONE in the firm who you'll be working with- not just the executive making the sales pr.esentation. Consulting Firms are not "Solicitation Firms". Consulting Firms work to teach, train, motivate and orient organizations to succeed in fund raising. Like any consulting arrangement, volunteer and staff leaders must be very involved and active in the campaign to succeed. Independent Consultants - There are numerous individuals who consult with organizations - either full-time or an adjunct to their full-time job. Many are quality individuals with excellent track records. Some are just in it to earn extra money or are between jobs. The major difference between an Independent Consultant and Consulting Firm is the number of people available to work on the �campaign. Consulting Firms will almost always use a "team approach", thereby increasing the quality and amount of advice and guidance available. Almost always, Independent Consultants are less expensive than Consulting Firms - mostly because they provide less time and resources than the Consulting Firm, and their overhead is considerably lower. There are many very good Independent Consultants, but the same criteria should be used in retaining an Independent Consultant that is used in retaining a Consulting Firm. In retaining an Independent Consultant, remember that this is the person you will be working with throughout the campaign- there is no one else. If it turns out that you lose confidence in this individual, chances are your campaign will be delayed and possibly jeopardized. Solicitation Firms- There are companies, usually telemarketing firms, that will call or otherwise contact thousands of people to seek support. They usually charge based on a percentage of the funds raised -often times taking much of the income. Many consider this type of arrangement to be unethical. Fees Based On A Percentage of Funds Raised -And How Much Will a Campaign Cost? Most fund raising consulting firms charge on a flat fee basis, based on time and service provided. Most will not accept assignment on contingency or percentage basis. This is consistent with the industry's Code of Professional Ethics. Most fund raising consulting firms do this for three specific reasons: I. Ethics. Virtually every major association or professional organization associated with fund raising prohibits consulting firms from charging a percentage of the funds raised. As a member of many of these groups, most firms subscribe to these ethical prohibitions. 2. Clients Best Interest. Organizations need to realize, especially small and medium size groups with little experience, that there is simply no way a charity can hire someone to "do" their fund raising. A major campaign requires the cooperation of the Board of Directors, Senior Staff, Community Volunteers and Professional Fund Raisers. When a consultant charges on a percentage basis, often times volunteers are less motivated to follow the advice of counsel. The focus of the campaign too easily becomes "well, of course you want me to make that visit- you'll make money" instead of a team work approach that will further the mission of the group. Additionally, a percentage fee will often lead a client to pay much, much more than necessary in a successful campaign. Generally a small or medium size campaign should have total fund raising costs between 10 �medium size campaign should have total fund raising costs between 10 and 15 percent of the goal. A successful campaign (one that raises more than the goal) should have the effect of lowering the percentage spent on the campaign- again increasing the motivation of volunteers to be involved and committed to the campaign. 3. Long Term. As fund raising counsel we should focus on the long-term fund raising needs as well as the imme~iate goals of the campaign. When paid as a percentage of "cash in the door," counsel will have a tendency to focus on the short-term cash needs and not build the long-term programs and cultivation vehicles necessary to ensure successful fund raising in the future. For a campaign with a goal of up to $1,000,000, the total costs would probably range from 10 to 15% of the goal. It would generally take between six months and one year to conduct this type of campaign. For a $1,000,000 to $2,000,000 goal, the costs would be 7- 10%. It would generally take between eight months and a year and a half to conduct this . . size campaign. Above a $2,000,000 goal, the costs might equal4- 8%. It would generally take over 18 months to conduct this type of campaign. Benefits of Fund Raising Counsel Utilizing fund raising counsel has several specific benefits to non-profits. Experience- consultants that have specialized knowledge in various areas of fund raising including prospect research, direct mail, personal solicitation, board enhancement and many others. This allows your organization to have at your disposal all the resources necessary to conduct a successful fund-raising effort. Cost Effectiveness - Because clients pay only for the service they need, the costs associated with using experienced fund raising consultants are minimized. In the end, use of counsel often allows for as much as a 10 to I return on investment. Success -Many fund raising consulting firms have successful track records in terms of capital campaigns. MNA's campaign will draw and build upon those successes. Selecting Capital Campaign Consultants Experience in the nonprofit sector substantiates that no one consultant or consulting firm is right for every project. Many consultants seem to hint that they can do it all, but logic should dictate otherwise. �Selection of the right counsel will be critical for a successful campaign. Selection of the wrong counsel can doom a campaign from the beginning. For this reason, be prepared to spend some time evaluating consultants. Don't short-circuit the process for · expediency. Some steps you might consider in selecting a consultant or consulting firm Step One: Creating a Pool to Choose From Select a list of five to seven consultants about whom you would like additional information. There are several places to find the names and addresses of qualified consultants. The best is with associates who have worked directly with a consulting firm. Check with board members, fellow· development professionals and institutions in your community. Be careful, though, to select an associate that faces a similar situation to yours. Whoever the local University used to raise $200 million might not be best for an organization trying to raise $10 million. Talk to organizations that are in a similar situation to yours. Don't limit your search geographically either. If there are similar organizations to yours throughout the country, call and talk to the executives there to see who they might have used in their capital campaign. Use directories. National Society of Fund Raising Executives has an excellent directory that lists consultants, their web pages and contact information. Advertisements. National publications such as Chronicle of Philanthropy, Fund Raising Management, Non-Profit Times, and Contributions Magazine all have ads of ethical capital campaign consulting firms. Step Two: Preliminary Evaluation First, don't send a Request for Proposal (RFP). Believe it or not, it is almost impossible to write a RFP that will cover all of the possibilities. Besides, if you aren't sure exactly what you want, how can you write an RFP that will get you what you need? �Instead, call the companies you have selected as your initial pool. Ask to speak to the president of the company. If the president isn't available, leave a detailed message about what you want, the size of your campaign, when you would like to start and other pertinent information. Then see how long it takes for the president to return your call. Most consulting firms are small firms and getting to the top executive isn't that difficult ... and, at least in the beginning, the president is the person to whom you want to talk. An interesting way of reducing the number of firms you are considering is to see who returns your call. If you have left enough detailed information, and your situation fits within the consulting firms' business plan, you should hear back from the president very quickly. If you don't hear back from a firm, they are either not interested, too busy or not responsive. Either way, your organization is probably better off not working with that firm. Arrange a convenient time to talk in detail with the president, or another executive of the company. Don't just ask for company materials. The materials you will get will extol the virtues of the company, but not really provide a lot of useful information. It probably won't answer your specific questions. The president or other executive of the company should welcome the opportunity to discuss in detail your situation and how their firm can assist you. And you should have some specific questions, including: (Remember, we are talking about capital campaign consultants now. Other types of consultants would naturally require other questions). I.) Explain your situation including all pertinent information: size of goal, annual giving, strength of board, commitment of staff and board to the campaign, how you think your community views your organizations and other background information. Then ask a general questions like: how do you think your company would start a campaign process for us? Then listen for the answer. Most experienced executives will provide you with a lot of detailed information over the phone and should have at least a standard description of how they would start a campaign process with you. 2.) Ask about the firm's experience with similar situations. By this, we don't mean that if you are a domestic violence shelter, the firm has to have domestic violence experience. Look deeper. Explain what you believe the difficulties will �be in raising the funds and ask if the firm has any experience with similar situations. Have they worked with similar organizations? 3.) Ask for a lot of details about previous campaigns conducted by the company. If the president can't provide specific information about previous campaigns, chances are the president wasn't deeply involved in that particular campaign. Keep this in mind when the president does the sales presentation and promises to be "deeply involved" in your campaign. 4.) Has the firm worked in similar sized communities? 5.) Has the firm worked with organizations with your fund raising history and experience? If your organization has only raised $10,000 through a special event, your campaign will be much different than one for an organization that raises millions each year. Look for similarities ... and differences. 6.) Has the firm worked with organizations with similar staffing and board involvement? 7.) It's ok to ask about failed campaigns, but don't expect a firm to "spill its guts" about past failures (and every firm has campaigns that don't make goal). Evaluate how the executive responds to the question- and what work they did outside the original contract to help a struggling organization. Take this opportunity to learn. Learn about the company, learn about capital campaigns, and learn about how the process works. These executives will almost always take as much time as you want to answer your questions and share their experiences. Most small and medium size companies work on from five to twenty-five campaigns a year (the bigger ones will work on hundreds). When a good sales lead comes through the door (and a good lead is dependent on the firm's goals including type of organization and geographic location), most executives will be happy to share a lot of information. If they don't consider your organization "a good lead", then you should probably search elsewhere for a consultant anyway. �After you have received answers to all these questions, ask the firm to provide you with written information about its history, client list, and philosophy. All firms will have a standard packet of information they will provide. Do not ask for a written proposal ... yet. Just ask for generic information, but specifically ask for a client list, references, and history information. Step Three: Evaluate Materials Once the initial information and materials arrive, evaluate them carefully. Did they include the information you wanted? If not, you can either call and ask again, or reject the firm from consideration. You want a firm that is responsive to your requests. How long did it take them to send the materials - how responsive are they to your needs? What do the materials look like? Are they printed or just copied? Is it a store bought folder with a sticker on the front? Would you be happy presenting these types of materials to potential major donors? Remember, the firm you hire will be responsible for creating your organization's image and materials. If they can't create strong, quality marketing materials for their own company, how are they going to create quality campaign materials? Did the firm sacrifice quality to save money- will they do that with your campaign? Step Four: Presentation After evaluating the materials, eliminate any firms you aren't comfortable can do the job for you. Don't be afraid to eliminate all of them and start over. It is better to delay the process now then hire the wrong consulting firm. A small committee might be helpful in selecting the finalists. A thorough discussion of each company by a committee will help in developing the priorities of the organization. Don't over structure the process however. There is probably no need for a "scoring grid" or other "quantitative" process. A lot of hiring a consultant is qualitative and instinct. Grids and the like may make committees feel better, but it rarely leads to retaining better counsel. Ask for a personal presentation and a proposal. While it is perfectly acceptable to ask for the proposal prior to a presentation, �organizations shouldn't use that proposal as a barrier to the selection process. A presentation from the executives of the firm can be a great way for a committee to learn firsthand about capital campaigns ... and have their questions answered without paying a fee. While all proposals differ somewhat, they will all contain essentially the same information. Generally speaking, committees will fixate on price and costs as a way of eliminating firms. Under the process outlined above, the organization has asked for proposal only from firms it feels are capable of conducting the campaign process- regardless of cost. Let the firms you have selected -the ones your organization feels is the best regardless of price - make a full presentation. View the presentation as a learning experience- an opportunity for your leaders to have questions answers and your specific situation reviewed. A VOID "dog and pony" shows. Having each firm scheduled for 45 minutes at the top of every hour for an evening is not a particularly valuable way to gain information. Schedule one firm in an evening and take some time to get to know the people who will be working with you. Chances are the firm you select will be working with your organization for months AND will play an important role in your campaign. To determine whom to retain based on a written proposal and 30 to 45 minutes of conversation is not effective. Each presentation should take a minimum of an hour, and can often take up to 90 minutes to two hours with questions. Take the time to learn about the people in the company and whether you like them and can work with them for the next six months to two years. Remember, you are about to enter into a relationship with a firm and pay them tens of thousands of dollars- perhaps over a hundred thousand dollars. You wouldn't hire a CEO on a 45 minutes interview, why would you hire a consulting firm in such a short time? Take into account personality. Your organization's leadership will have to work with the people you select for months, and possibly years, so you need to like the people. Get to know everyone who will be working with you. INSIST on interviewing and meeting every member of the team with which you will be working. Many firms, especially larger �ones, will have an executive make the sales presentation and then a campaign director will actually do the work. Insist on meeting and interviewing the campaign director, preferably outside the presence of the executive. Make certain that the campaign director or person you will work with on a day to day basis knows what he or she is doing. This campaign director is the one that will have the greatest affect on the success or failure of the campaign --make certain he or she is up to the job. Any firm that refuses to include the people actually working on the project in the sales process should be rejected. REMEMBER- it is the people that will make your campaign a success, not the firm. Some companies also indicatl that if the organization doesn't like a particular consultant, the firm will" replace them. Unfortunately, replacing a consultant in the middle of the project delays the timetable as the new consultant learns what has already taken place - and there is no guarantee that you will like the new consultant any more than the one you are replacing. Insist on meeting and interviewing the firm member(s) you will be working withBEFORE you sign the contract. Step Five: Make the Selection Assuming you are working with a committee, the committee should schedule a final meeting to discuss all of the firms you have interviewed. The selection process is really a subjective process and the collective wisdom of the committee must be considered. After the committee has reviewed and discussed all of the companies, prioritize each company and THEN check the references. Chances are the references provided will all check out. After all, no company is going to purposefully list a reference they know won't say wonderful things. To really find out the performance of a firm, take a look at their entire client list. It should be included in their packet of information, and if not, then request it. After reviewing the list, pick three of four, more or less at random, and ask the company for detailed information and contact information. See what these clients think about the firm. Finally, evaluate the staff assigned to your campaign. Have the firm provide contact information for three or four clients each staff person had worked with in the past.
