Rodriguez Algra, Executive Director Date: March 1, 2010 Re: VCM Activities Update Below you will find some key highlights of our work since the last time we reported to the Board of Directors. VCM VISTA Program Update The Volunteer Centers of Michigan (VCM) received an AmeriCorps*VISTA grant from the Corporation for National and Community Service in September of 2008, that would run for a 3 year period. Our intent was to use these VISTA’s as a way of providing support to our start-up and expansion volunteer centers throughout Michigan. The VCM *VISTA program currently has eight VISTA members serving in Volunteer Centers throughout the state and one VISTA Leader serving alongside the Volunteer Centers of Michigan staff in the MNA office. In less than one year, the VCM*VISTA members have been making huge strides in promoting volunteerism; creating and strengthening structures or systems to recruit, train and retain volunteers and in introducing youth and baby boomers to a lifestyle of service and civic engagement. Along with laying the ground work for the long-term sustainability of their program locally, the VISTA members have already been capturing results from their efforts including: 1. 2. 3. 4. $206,772.75 worth of volunteer hours leveraged by VCM* VISTAs: (As a result of VCM AmeriCorps*VISTA efforts 10,211 hours of volunteering was served in the VISTAs host site communities. The hourly rate developed by Independent Sector currently stands at $ 20.25 per volunteer hours) 1,606 volunteers recruited from the community by the VCM*VISTAs 106 trainings or orientations were conducted by the VCM*VISTAs 344 new community partnerships were established by the VCM*VISTAs The VCM VISTA leader, Sandra Miller has been involved in development and training related to Volunteer Management. Throughout November and December, Sandra Miller interviewed several VISTAs, Directors, and Volunteer Managers at Volunteer Centers and other organizations across the nation to identify best practices in the area of Skilled Volunteers and Team Leaders. The best practices and examples were compiled into a webinar and toolkit that were presented as a pilot to VCM *VISTAs and their supervisors. The webinar and supportive “toolkit” materials received positive feedback 1 �Update on Comcast Grantees Year three funding will be available to our current 5 grantees based on their submission in late February 2010 with notification being made by mid-March. VCM staff will review the submissions and decide if full funding is needed and warranted for the final year of program funding. Many of our Comcast Grantees attended the Institute in Traverse City. Program accomplishments will be shared in our next Board report. This is the final year of funding for this grant. The funding for this initiative has been made possible by the Comcast Foundation. HandsOn Network Action Center and State Entity Gathering- St. Simons, GA The Volunteer Centers of Michigan and MNA were invited to attend this gathering from December 13, 2009. Kyle and Diana were among twenty-five leaders in the field asked to attend. The meeting was convened by Michelle Nunn, CEO of the POLI/HandsOn Network. The hope of the gathering was two-fold: Dialogue and Visioning for a Vibrant Engaged Network: o Michelle Nunn shared her perspectives on what is imperative for a strong and vibrant network in today’s environment. o Action Center and State level associations shared how they believe they could meaningfully lead and partner in new ways to build the network and the HandsOn brand. o Presentation and discussion of leadership structures/models of governance were discussed and shared o Dialogue about statewide governance structure and leveraging leadership with State Associations/Commissions was explored and endorsed The Power of Collaboration – Partnerships with Statewide Entities: o Participants dialogued and explored with state associations and state service commissions how the field could more closely work with themselves for the greatest impact at the local, state and national levels. o Discussion took place around what steps can be taken to effectively elevate the unique value of Action Centers in the crowded civic engagement space o What are the most critical successes and what is the most compelling value proposition that the network can bring to the landscape o Sharing which successful models already exist. Future conversation will take place and some announcement is expected at the National Conference of potential pilot states for the roll-out of this collaborate deliberate process. Michigan Student Service Award Update The Michigan Student Service Award is a premier statewide program recognizing high school graduates who volunteer 400 hours to benefit their communities. VCM is making plans for this year’s awardees. Outreach will be made to the Governor’s Office to for her signature to appear on the award certificates and VCM will look to purchase in bulk the medallions that are presented to the selected students. A VCM network survey was distributed to reevaluate award criteria and the network voted to expand students’ service options. Therefore, MNA supports the elimination of term limits and the measures that would lengthen terms of service for the members of the Michigan Legislature.” Discussion Items 1. Constitutional Convention The Public Policy Committee had a discussion about the possible impact of a Constitutional Convention on the nonprofit community and the people we serve. After discussing the pros and cons of a Convention, the committee decided to table the discussion until the next meeting, at which time they will examine the discussion more closely and consider adopting a position statement in regards to the convention. MNA will convene an Ad Hoc Committee to craft a recommendation for MNA regarding our stance on the Michigan Constitutional Convention to take to the MNA Board of Directors. 2. 2010 Census �Kyle Caldwell provided an update on the work that MNA and its partners are engaged in around the 2010 Census. The Nonprofit Complete Count Committee and its work, headed by Sam Singh, is continuing to move forward. Many organizations are engaged and have begun holding trainings to help educate nonprofit representatives on how to encourage direct participation in the census at the ground level. MNA also recently sent out Census toolkits to all its members, and these toolkits include great resources for nonprofits, as well as a media toolkit targeted at reaching out to and engaging the media to stress the importance of census responses to individual communities. Additional copies of these toolkits are available from MNA on a first come, first serve basis. 3. 2010 Elections Tiffany Aurora told the committee that the Michigan Participation Project, MNA’s program on nonprofit engagement in nonpartisan election work, is getting ready to ramp up for the 2010 election season. With the huge turnover coming in both the House and the Senate, as well as at least one new Congressional member, 2010 is an important year for nonprofits to make civic engagement a priority. As usual, MNA will be bringing back the resources of MPP that have been popular in the past, including a revamped website and important information for nonprofits and voters. New this year is a special emphasis on educating candidates. Resources will be made available to give ideas and tools on approaching candidates to ask questions about the issues which are a priority to the nonprofit community and individual organizations specifically. While some of these resources will be available within the next month, look for a big push on the elections beginning after the Census, midApril to mid-May. 4. Federal Policy Update Kyle Caldwell provided an update on several important pieces of federal legislation. Patrick Corvington was just appointed to head the Corporation for National and Community Service the previous night. The Jobs bills being proposed in Congress include provisions for encouraging job creation with nonprofits, currently in the form of a $5,000 employment tax credit in 2010. The IRA Charitable Rollover and other components of the Extenders Package that died in the Senate last year may get added on to the Jobs Bill. Finally, the Citizens United decision has an impact on c4 and c6 organizations and their expenditures, but it is important to note that 501(c)(3) nonprofits are still subject to the tax law which prohibits them from being taking positions on candidates or contributing money to political campaigns. More information on this court decision is available on MNA’s website. 5. State Policy Update Tiffany Aurora reported that SB 860, a bill to clarify the language of the Youth Employment Standards Act to specify that minors performing volunteer activities for nonprofits are not required to obtain a work permit for such activities, passed out of the Senate Commerce and Tourism Committee. HB 5456, a bill to create permanent absentee voter files, passed the House of Representatives, as did HB 4539-4540, bills to allow electronic submission of voter registration applications. �6. April 22 Event - “Strengthening Michigan through Giving & Volunteering” Tiffany Aurora told the committee that a new format is being planned for MNA’s annual spring event at the State Capitol and asked for the committee’s feedback. The new program will kick off with a press conference at approximately 12:00 noon, at which time the latest Giving & Volunteering study and its findings will be released and the Michigan Volunteer Champion Awards presented. Following the press conference, a lunch will be provided, and then there will be afternoon meetings with legislators for those who are interested in participating. The meetings will focus on timely legislative items related to the nonprofit community and, by working with the Michigan Community Service Commission (MCSC), stories about what national service looks like on the ground in individual member’s districts. He thanked everyone for their well wishes and for staying in contact during his recovery. He asked everyone to introduce themselves and welcomed Sheilah Clay who is attending the meeting by conference call. David also welcomed auditor, Aaron Stevens, Abraham & Gaffney, P.C., who presented information on MNA’s audit later in the agenda. Chair’s Report Chair, David Price, thanked David Eisler for taking the helm and being involved in the numerous Committee meetings while he was recuperating. President’s Report Kyle Caldwell reported how happy everyone was to see David Price back, and he also thanked David Eisler for standing in as Chair for the period of David Price’s illness which included attending many additional meetings during this timeframe. Again, a warm round of applause followed for both David’s. Kyle announced that Dorthy Beemon, a MNA VISTA, was featured The State News, a publication of the Michigan State University- Finding Faith and Unity. The article notes that Dorthy’s faith has helped her overcome many obstacles in her life. Next, Kyle discussed the article Smooth Operations, featuring, David Seaman from Michigan Health & Hospital Association (MHA). MHA has built their association on its people, developing a solid people process which comes first before strategy and operational decisions. Kyle said it was an excellent article and was reviewed by MNA’s Senior Executive Team (SET) and reflected on how MNA would like to incorporate these ideas with its staff. Kyle reported that Sam Singh is spearheading the Census Project, Nonprofits Count! (www.nonprofitscount.org). There are many ways nonprofits can get involved and support the 2010 census. MNA staff will be reporting more information as it develops. Kyle said that as MNA fills all of the vacant positions the next quarter will be focused on MNA’s Strategic Plan. The MNA Board will be involved in the development of the plan at the March 16, 2010 all day retreat session. Public Policy Report Rob Collier reported that the Michigan Nonprofit Association Public Policy Committee recommended that the MNA Board of Directors adopt the following statement in regards to MNA’s position on the census project: 2 �Michigan Nonprofit Association supports legal and responsible efforts to increase participation in the census and opposes efforts to add questions to the U.S. Census form that would discourage participation and reduce the chances for an accurate count. Rob said that MNA’s activities around the 2010 census included the recent announcement of grantees that will collectively receive $200,000 to support activities on the ground to increase participation in the census in hard-to-count communities. He also announced the creation of the Michigan Complete Count Committee, chaired by Lt. Governor John Cherry. A motion was made by Rob Collier and seconded by Delois Caldwell that the U.S. Census position statement as stated above be approved as presented. Motion carried. Next, Rob discussed the federal government's "Race to the Top" program offering more than $4.35 billion in competitive grant money for states leading the way in reforms and raising student achievement. To beat out other states for the funding, those states must be willing to make additional improvements to their education system. Rob encouraged everyone to talk to their representatives in the Michigan Legislature to encourage support of the program. Applications are due by January 18, 2010. MNA Lansing Office Space Report David Seaman said that the Ad Hoc Committee was formed to perform a number of items. These include: evaluating space needs of MNA, consider alternatives that would allow partnering with others organizations in the mid-Michigan area, examining buildings and properties around the Lansing community that may effectively house MNA and its partners and make a recommendation to the MNA Board of Directors. The Committee spent a good period of time working through the summer and fall trying to reach all of the objectives. The three options are: 1. Maintain the current space 2. Move to a new office space – define more space 3. Establish a nonprofit center David said the Committee ultimately felt that the best method was to establish a unique approach by leveraging partnership opportunities with the Capital Region Community Foundation (CRCF), Capital Area United Way, and Michigan Association of United Ways. By doing so, creating a real impact on the community of Lansing and most importantly demonstrate the vital role of nonprofits within the State of Michigan. The general conclusion is for MNA to take on a leaseholder arrangement. David and Scott Dzurka have represented MNA, along with two members from each of the other organizations. Scott Dzurka said it was a great opportunity to bring organizations together while increasing cost savings. Scott said the property identified is the Marshall Street Armory. The location has plenty of parking and is handicap assessable. It is owned by the Gillespie Group and would need a major renovation. The property has been vacant for about five years. 3 �A motion was made by David Seaman and seconded by Paula Cunningham to empower MNA staff to negotiate with the Gillespie Group, through the contracted brokerage services of CBRE to provide a final offer to MNA as the major lease holder in the Marshall Street Armory space. Motion carried. Kyle thanked the Ad Hoc Nonprofit Space Committee, especially, Scott Dzurka and David Seaman, for their leadership. A warm round of applause followed. Executive Committee Report David Price reported that the Executive Committee recommended that the MNA Board of Directors approve amending MNA’s 403 (b) Tax-Deferred Annuity Program. At this time, MNA does not fall under the rules requiring us to make these changes, such as, having 100 employees, but if we do, we will already have the approval from the MNA Board in place. A motion to approve the Amendment to the 403(b) Tax-Deferred Annuity Program was made by David Price and seconded by David Seaman. Motion carried. MNA Search Update Report Bill Liebold noted that when he reported at the September 15, 2009 MNA Board meeting, MNA had four senior staff vacancies, Director of Public Policy, Director of Development, Metro Detroit Director and the Michigan Campus Compact Executive Director (MCC). This gave MNA a unique opportunity to bring new talent and vision to the MNA staff. A process was set in place for a careful, thoughtful way to identify, recruit and hire the best available talent. This process was designed to include deep engagement on the part of several MNA Board members as well as key members of the nonprofit community. Four separate search committees were formed and an outside firm, DHR International, was chosen to represent MNA. At this time, two slots have been filled, Donna Murray, Metro Detroit Partnership Director and Director of Fund Advancement, Marc Melton. Two positions remain to be filled and Bill expressed his hope to have these filled by the end of December. Bill gave special thanks to all of the MNA Board members and other leaders from the nonprofit community, who served on these committees: N. Charles Anderson, Karla Hall, Sheilah Clay, Sonia Harb, Heidi Mucherie, Carmen Thomas, Don Tuski, David Veneklase Rob Collier and Ben Baldus. Bill ended by saying “Two filled, two to go”. Bill stated that all agree with the new staff, we will have strengthened MNA by bringing firstclass talent to the MNA team. The Board thanked Bill Liebold, Kyle, Dan Thompson and Kathy Cooney for their work with the search committees. A warm round of applause followed. Audit Committee Report Anne Rosewarne reported that MNA’s new auditor, Aaron Stevens, of Abraham and Gaffney, P.C. reviewed MNA’s financials for fiscal year ending June 30, 2009. Aaron reported that the audit was completed and provided by general accounting procedures. Aaron noted that due to MNA receiving Federal funding over $100,000 an audit on these programs was also performed (commonly referred to as an A-133 Single Audit). Aaron reported that Abraham and Gaffney, PC provided an unqualified audit, but also suggested that MNA have written Financial Policies and Procedures. Aaron reported that MNA continues to work as a very efficient organization. Anne Rosewarne thanked Aaron for his work and complimented him on the services he provides to MNA. 4 �A motion was made by Anne Rosewarne and seconded by Suzanne Greenberg that the MNA Board of Directors accept the audit for year ending June 30, 2009. Motion carried. Finance Committee Report Lisa Keefer reviewed the Statement of Financial Position and stated that the revenue over expenses is a negative figure in the amount of $159,627.87. Kyle Caldwell said that staff have done a great job of controlling expenses as demonstrated in the negative variances in the expense line items and the overall negative variance was due in large part to our not meeting the high revenue expectations which showed significant variances for the first quarter of FY 2010 as well as delays in billing and payments for reimbursement grants. These areas included variances in grant revenue, sponsor revenue and loss in consulting fees due to unanticipated senior-level staff vacancies. Kyle noted that going forward; management will work to resolve the deficit through three primary strategies by fiscal year end. 1. By redefining the Director of Development position to focus more aggressively on securing unrestricted funds and structuring grant revenue to capture a significantly higher percentage of administrative expense. 2. Freeze the current FTE level through the remainder of the fiscal year 3. Revising a plan for consulting revenue generated by senior staff. A motion was made by David Seaman and seconded by Anne Rosewarne that the MNA Board of Directors approve the Interim Financial Statements for the Month Ending September 30, 2009 and the change in the information that is provided to the full board. All board members will receive attachment number 3 and number 4 with a memo of summary for the period ending in their board packet. Motion carried. Michigan Community Service Commission Update Paula K. VanDam reported that Cities of Service is a bipartisan coalition of the mayors representing large and small cities across the U.S. who will work together to engage citizens to address our communities toughest challenges. The funding is courtesy of the Rockefeller Foundation. All applicant cities must have at least 100,000 residents according to the 2000 census and be home to at least one community college or four-year public or private university. Applications are due Tuesday, December 15, 2009. Learn more at www.citiesofservice.org. Paula updated the Board on the AmeriCorps program and said that there are more than 12,000 individuals in Michigan are performing a year of service with AmeriCorps. AmeriCorps gives adults an opportunity to make a big difference in their life and in the lives of those around them. It’s a chance to apply skills and ideals toward helping others and meeting critical needs in the community. Next, Paula said that the Michigan Community Service Commission (MCSC) encouraged everyone to mark January 18, 2010, Martin Luther King, Jr. Day, as a “Day On” instead of a “Day Off”. The Martin Luther King Day of Service Toolkit, available is online at www.mlkmobilization.org, and can help you plan a 2010 project. Once planning is 5 �complete, organizations are asked to register their service projects at www.mlkday.gov or www.serve.gov. 20th Anniversary Ad Hoc Committee Anne Rosewarne said the primary focus of MNA’s 20th Anniversary strategy is looking forward and making a commitment to the next 20 years. While MNA will acknowledge the achievements of MNA, our members and the sector over the past 20 yrs, we will want to reinforce the forward looking idea instead. The primary idea will be to collect commitments from nonprofits, funders, legislators, etc. for the next 20 years asking “what’s your/my commitment to the nonprofit sector for our next 20 years?” The Council of Michigan Foundation (CMF) and the MNA Board and Alumni group will bring groups together to look at the future of the sector. MNA’s Anniversary celebration will begin on January 1, 2010 and will be a year long celebration. Allison Treppa noted that MNA will capture ideas from MNA Board of Directors on video at our March 16, 2010 MNA Board Retreat. Other Kyle Caldwell said that he wanted to thank the MNA staff for their dedication throughout the year. Kyle said they are a truly talented group – and a pleasure to work with. In addition, Kyle said he appreciates all of the Board members service and dedications to MNA and their organizations who support MNA. In addition: • • • • • Our membership numbers are solid with 1,037, while down slightly from our high of 1,100, this is a good retention level for this economy. Capacity building continues to expand its work with a new partnership with the Dorothy A. Johnson Center for Philanthropy at Grand Valley State University. This joint effort will deliver training and technical assistance opportunities on the ground for the Grand Rapids area. The Service-Learning Institute hosted by Michigan Campus Compact and the Michigan Community Service Commission in Traverse City was very successful with record turnout. The rebranding and realignment of NPower Michigan to Highway T is completed. MNA is in the engagement stages of the 2010 Complete Count Census Campaign with new resources projected for Detroit and Flint as well as other Michigan Hard to Count communities. Challenges As noted in the Finance Committee report, the budget remains an important issue. Staff forecast a budget deficit this year on par with last year’s level. We continue to maintain discipline on costs and are aggressively seeking additional revenue streams; however, we do anticipate making changes in the FY 2010-2011 budget to move the organization toward a balanced budget. Other Items The March 16th board meeting at the MSU Henry Center (University Club) will consist of a full-day retreat (9:30 – 4:00 p.m.) where we hope to focus on the major questions facing the state’s nonprofit sector and the MNA response. We will also hold an abbreviated business meeting. I look forward to seeing you then. The event was combined with a very well-attended Council of Presidents Meeting featuring James Vella, Ford Motor Company and Fred Keller, CEO of Cascade Engineering and Board Chair of the W. K. Kellogg Foundation. Michigan State University’s Adolescent Diversion Project was awarded the 2010 Carter Partnership Award. Planning for the 2011 Institute in SE Michigan is now underway. Special thanks are in order to Jackie Taylor for her hard work in directing the organization through its leadership transition up to an including the flawless execution of this annual event. Additional thanks to MCC Board Chair, Don Tuski for being generous with this time related to the Institute and so many other MCC Events and Programs. The Outstanding Student Service Awards nomination is now closed. There were over 800 nominees. Nearly 200 students have completed the application process (making them eligible and the review is now underway in preparation for the April 11, 2010 event. The OSSA event will take place from 10am to 2pm at the Kellogg Hotel and Conference Center. MCC Staffing Update: Assistant Director, Michelle Snitgen will be out of the office on maternity leave until late April/early May. What is a Strategic Alliance? Strategic Alliances are permanent operating partnerships. They are formed when two or more organizations find a way to share costs, increase effectiveness by working together in a formal, structured way bringing benefit to the partnering organizations. Strategic Alliances can take many forms-here a just a few examples: • • • • • • Share functions between organizations Share facilities Outsource work by contracting with another arts organization to provide services-such as PR, development or maintenance Create new marketing networks to connect diverse audiences to multiple arts organizations Create common administrative entities to serve multiple organizations Develop join operating agreements or mergers between specific organizations The Strategic Alliance Project is a three-year initiative (2009-2012) with three phases: 1. Exploration of Strategic Alliance Concepts ( October 1, 2009-June 30, 2010) 2. Selection of High –Potential Projects (July 1-Septmember 30, 2010) 3. Development and Launch of Strategic Partnerships (October 1, 2010-September 30,2010) The Strategic Alliance Project business model, designed by MNA, utilizes affinity groups such as CASM to create an environment whereby strategic alliance discussions happen organically among the members of the group. Participation in the Strategic Alliance project is open to all CASM member organizations with priority given to those organizations based in Wayne, Oakland and Macomb counties. 1 �The project is currently operating in the Exploration phase with more than 20 strategic alliance concept ideas generated from the members of CASM. Three highly skilled consultants with varying backgrounds ranging from the arts and culture discipline to technology and nonprofit governance were hired as part of the strategic alliance project business model, to guide organizations through the process of exploring and analyzing the strategic alliance concept ideas. Additionally, a Strategic Alliance Project Advisory board, comprised of corporate, nonprofit, philanthropic and cultural and art leaders has been assembled to further assist the Strategic Alliance Project work to support to project by providing supplementary intellectual capital to the process. During the Exploration phase, groups can submit request for funding from MNA/CASM via the Strategic Alliance Manager to support concept ideas. We anticipate requests to begin surfacing this month through the next few months as the Strategic Alliance Managers work alongside the organizations to evaluate the financial support needed. The following concepts are currently being explored among the CASM members: • • • • Financial & Operations Management : Create sector-wide systems to support multiple organizations ♦ Shared accounting for financial management systems ♦ Group purchasing capability ♦ Group insurance programs ♦ Shared information technology management or systems Centralize Administration of a Function: to reduce overhead for organizations that have similar functions by sharing staff time and/or project costs ♦ Joint contract to provide services to schools and administer payment ♦ Collaborate to reduce the cost of fundraising ♦ Share HR staffing and expertise ♦ Consolidate print production and program ad sales ♦ Coordinate volunteer recruitment, training and recognition for multiple organizations Facility Sharing: Use available space more efficiently and collaboratively ♦ Rent space to/from other nonprofits ♦ Co-invest in a common facility ♦ Provide space in return for services Sector-wide Marketing Platforms ♦ Establish a “Culture Calendar” website providing listings and features to media and the public ♦ Audience development marketing combined with ticket sales We are very thrilled to be involved in such cutting-edge work and believe the learning from this work will prove to be relevant in utilizing this as a replicable business model in assisting other subsectors in the industry. 2 � Dublin Core The Dublin Core metadata element set is common to all Omeka records, including items, files, and collections. Currently 185 schools, totaling 807 classrooms in the state of Michigan, including five school districts, consisting of Carson City-Crystal, Jackson, Pinckney, Romulus and Shelby are participating in The LEAGUE. Update King Day This event, which took place between January 6 – 20 had students focusing on respect and fairness. Classrooms participated in a variety of events, including but not limited to; a march, poster contests, Giving game and Mix It Up day. As a result of these events across the state, The LEAGUE Michigan placed in the following top 10 National Teams: Elementary School Division - 1 class placed in the top ten Middle School Division – 4 classes placed in the top ten High School Division – 1 class placed in the top ten New York City Service Trip During The Drive in November, we had two classrooms place in the top 10 for the nation. As a result of this, each classroom had the opportunity to send two students and their teacher to New York City on February 12th – 14th. The purpose of the trip is to honor the students and their achievements in making a difference in their community, as well as to bring the top 10 classroom representatives together to do a service project. This was a great honor for the students and teachers! Opportunities The LEAGUE Michigan has partnered with The Detroit Pistons for their annual Pistons Care Telethon. We had over 115 classrooms participating, raising over $11,000. All proceeds will go to the Food Bank Council of Michigan. Moving Forward The LEAGUE Michigan is currently focused on having a strong finish for the 2009-2010 school year and fund development. In addition, we are in the process of creating the 2010 Youth Philanthropy and Service Camp for students in partnership with the Council of Michigan Foundations and four Everyone Can Serve Academies for teachers in Battle Creek, Detroit, Grand Rapids and Sault Ste. Funder Meetings MNA is actively reaching out to the foundation community that has so generously supported our efforts to increase the capacity of nonprofits in Michigan. The purpose of the meetings is to update our funders on the ongoing work of MNA, recent staff changes in the organization and future plans of MNA. Fisher Foundation Erb Family Foundation Richard and Helen DeVos Foundation We will continue to work to schedule additional meetings with the foundation community so that we can keep them as informed of MNA’s work as possible. 20th Anniversary For MNA’s 20th Anniversary, the organization is holding a competition for the creation of an art piece that will celebrate the past 20 years of the nonprofit sector in Michigan. We have held discussion with multiple groups, but have not at this time found a sponsor to help offset the 2 �costs of the piece. We have had conversations with several funders to see if there was any interest and have been told this is something they can’t do at this time. We currently have a $7,500 project support grant in to the Michigan Council for Arts and Cultural Affairs (MCACA) as another way to support the project. If anyone knows of a person, corporation or foundation/donor-advised fund that might have interest in this type of project, please contact Marc Melton. Individual Giving In effort to grow MNA’s base of support, activities have begun to plan out options for direct mail appeals with targeted areas of the state to test the MNA story and message. This is new work for MNA. With that being said, it is important to understand that MNA will need to test early messages to identify what donors and the public best respond to as it relates the work and impact of MNA. MNA is also researching opportunities such as the Michigan State Employee Charitable Campaign and the Combined Federal Campaign as additional ways to allow people to give to the work of MNA. As MNA refines its story and message, the development of an annual giving program will be of importance because without a solid annual giving program, it is much harder to identify prospects who could become major gift donors in the future. Trainings and Consulting On January 26, 2010, Marc Melton served as presenter on MNA’s webinar “Board’s Role in Fundraising.” On February 24, 2010, Marc Melton and Donna Murray served as presenter for the Michigan Promise Zone meeting held in conjunction with the Michigan College Access Network. The presentation was an overview of the philanthropic world and views from the eye of a past funder. Marc Melton is also serving as the consultant on one Michigan Recover project with Genesis New Beginnings Christian Center. Marc has also been contacted by the North Country Trail Association about presenting at their May Board Retreat regarding Fund Development Strategies and Developing a Fund Development Department in Your Organization. Please see attached memo for explanation of variances �To: Members of the Michigan Nonprofit Association Finance Committee From: Tina Bruce, Director of Finance Subject: Explanation of Significant Variances and Response Strategies Date: February 16, 2010 In the accompanying financial report you will note larger than expected negative revenue over expenses in the amount of $291,791.74. The overall negative variance was due in large part to the following issues: • Staffing reductions. Unanticipated departure of senior staff at the beginning of the fiscal year led to delays in billing for some grant-funded programs. In addition, projected consulting revenue was not realized due to these positions not having been filled through the first two quarters. • Program Fees. Revenue from training programs is down in several areas due to attendance having been lower than projected. In addition, a Michigan Campus Compact VISTA program was budgeted to receive $120,000 in program fees, however the majority of that revenue was billed and posted at the end of the previous fiscal year. • Grant Revenue. Revenue from grants was significantly lower than projected for the first two quarters, due in part to delayed start-up of projects. In addition, most of our grants have an allocation for us to sub-grant to other organizations, and to colleges and universities. Our subgrantees are behind in programming and implementation and therefore our reimbursement to them is behind. Income for these grants will increase as our sub-grantees’ spending increases. Expenses for the first two quarters were on budget. The reductions in expenses for salaries and fringe benefits due to staffing shortages were offset by the hiring of an executive search firm to assist in the placement of the Metro Detroit Partnership and Michigan Campus Compact positions. The board and staff agreed to invest in the attraction of key talent in order to fill these positions, and we used an outside hiring firm. This unbudgeted expense was in the amount $61,000. We continue to look for ways to decrease expenses and increase revenue for the remainder of the fiscal year. Going forward, the moving expenses for the Lansing office which had been budgeted for this year will not be incurred, and in effect will be reflected in the overall balancing of the financials. Nonetheless, we anticipate that expenses will exceed revenue at the end of the fiscal year. Michigan Nonprofit Association increases the capacity of Michigan’s nonprofits to serve, strengthen and transform communities. Objective 1: Building the knowledge and skill-base of individuals to affect organizational change. Activity: Virtual Information Center Progress: Timeline revised with progress towards completion of the following: • Statewide Training Calendar-updated monthly • Monthly Basic Nonprofit Management Webinars • Key staff will be working with the Database Management/Website Team to ensure components of the Virtual Information Center are incorporated into the new design Completion Status: Completion status changed to 4th quarter. Capacity Building-March 2010 Board Report 2 �Objective 2: Developing systems for effectiveness and efficiency within the organization. Activity: Conferences Progress: Implementing planned services including: • Michigan Nonprofit SuperConference 2010-May 18-19, 2010 at the Lansing Center. The Conference Committee has met five times since September 2009 to discuss planning and content. The theme for SuperConference 2010 will be “Bringing Focus to the Future”. This theme was chosen to invoke a feeling of forward-thinking and optimism during a time of great challenges for the nonprofit sector in Michigan. Workshops have been selected and that information is posted on the conference website. Andy Goodman will be the opening keynote speaker for the conference and has also agreed to stay and conduct a workshop directly after his address. • Signing Sponsors in a Lean Economy – Event was held on Feb. 18th at the Doubltree Fort Shelby in Detroit. 45 participants spent the day learning about sponsorships from Barbara Harrington of Sponsorship Network. The event received excellent reviews. Completion Status: On target for 3rd and 4th quarter completion and delivery. Objective 3: Strategic development of relationships, resources and/or business models for long-term sustainability. Activity: Development of resources/workshops focused on sustainability. Progress: Implementing partnership with Johnson Center for Philanthropy • Meeting with appropriate Johnson Center staff and other community stakeholders to discuss training and technical assistance opportunities. • Delivering technical assistance to grantees in 8 county region in West Michigan. Rodriguez Algra, Executive Director Date: November 24, 2009 Re: VCM Activities Update Below you will find some key highlights of our work since the last time we repotted to the Board of Directors. Update on the Volunteer Impact, Retention and Expansion Grant (VIRE) from the HandsOn Network (HON) We repotted last time that the VCMIMNA had proceeded to submit a second year application for $50,000 VIRE Grant from the HON to suppott the work of our current six Start-Up sites and to explore the possibility of adding one new community in 2010. Unfottunately we were notified in late October that we had not been selected for funding. However, we continue our work at the statt-up sites and hope to see a greater number of community volunteers engaged at addressing local issues in the coming months. VCM VISTA Program Update The Volunteer Centers of Michigan (VCM) received an AmeriCorps*VISTA grant fi·om the Cotporation for National and Community Setvice in September of2009. TI1e first five members of the VCM*VISTA Corps were placed in stmt-up and expansion volunteer centers throughout Michigan in December of2009. The VCM *VISTA program currently has eight VISTA members serving in Volunteer Centers throughout the state and one VISTA Leader setving alongside the Volunteer Centers of Michigan staff in the MNA office. In less than one year, the VCM*VISTA members have been making huge strides in promoting volunteerism; creating and strengthening structures or systems to recruit, train and retain volunteers and in introducing youth and baby boomers to a lifestyle of setvice and civic engagement. Along with laying the ground work for the long-term sustainability of their program locally, the VISTA members have already been capturing results fi·om their effotts including: I. $147,296 wotth of volunteer hours leveraged by VCM* VISTAs: (as a result ofVCM AmeriCorps*VISTA effotts 7,305 hours ofvolunteetingwas setved in the VISTAs host site communities. The hourly rate developed by Independent Sector for 2008 for volunteer hours is $20.25) 2. 1,263 volunteers recmited fi·om the cotrummity by the VCM*VISTAs 3. 49 days of service planned atld implemented with help from the VCM*VISTAs 4. $34,705 of in-kind funds leveraged by the VCM*VISTAs 1 �5. 86 new community partnerships were established by the VCM*VISTAs 6. 71 orientations or trainings for volunteers were facilitated/presented by the VCM*VISTAs The VCM*VISTA Leader, Sandra Miller, has been involved in VISTA recmitment, training, and development of presentations to be used for a variety of purposes. She provides links to resources as well as summaries of relevant materials to the VCM *VISTAs across the state through monthly conference calls and a weekly electronic newsletter. Sandra has worked with staff to develop and make presentations to new AmeriCorps*VISTA members state-wide on the subjects of grant writing, volunteer management and effective presentation methods at both regional and state level workshops. Currently, Sandra is working on a skill-based volunteer toolkit that will be used to train Volunteer Managers in effective strategies and best practices on how to recruit, retain and mange skilled volunteers. VCM Site Visits This quarter saw our staff participate in a number of site visits to both statt-up sites and more established centet~. Our site visits give us an opportunity to catch up with the happenings at the local level and also to welcome new directm~ to the network. These included: Stmt-up and Expansion Visits: Volunteer Muskegon in Oceana County, Nonprofit Network in Jackson, UP Volunteer Network and The Lapeer County United Way office. Lapeer is interested in looking at ways to engage more community volunteet~ and reached out to us to help them strategize on what steps to take in laying a local foundation for this work. Statewide VISTA Member Training Proposal The state office ofCNCS asked us to coordinate and deliver their Annual Post-PSO Statewide Training for their VISTA members. We worked diligently to meet all their needs. This training brought together over 100 VISTA members fl"mn the Lower Peninsula on September 16-17,2009 in Ypsilatlti, MI. This year's training offered the members eleven different topics to choose fi·om. All who attended felt the training was very beneficial atld we stand ready to suppott fhture trainings for VISTA members as the need arises and the CNCS Detroit office requests our help. Michigan Student Service Award Update The Michigan Student Service Awm·d is a premier statewide program recognizing high school graduates who volunteer 400 hom~ to benefit their communities. In atl effmt to be more accepting of national atld global volunteering, the Volunteer Centers ofMichigan network voted to update the hour requirements for the Michigan Student Service Awm·ds. Rather than requiring all volunteer hours to be completed locally, the network voted to requh·e 70% of student setvice hours to be done within the local community, while allowing the remaining 30% of hours to be done outside of the community, on altemative breaks, etc. The Michigan Student Setvice Award Program will now operate with the undet~tanding that Volunteer Cente1~ can accept up to 30% of student setvice hom~ to be done outside their county, city, or tri-county area. National Network of State Associations- Web Pages Volunteer Centers ofMichigan has agreed to host information regarding the National Network of State Associations (NNSA) on the VCM website. These NNSA web pages can be found through the quick • Page 2 �link on the VCM homepage or at http://www.mivolunteers.org/NNSA.asp. These pages contain inf01mation about the State Association of Volunteer Centers, as well as relevant documents, meeting minutes, committee contact infotmation and upcoming conference calls. The Volunteer Centers of Michigan is a key stakeholder within this network, with Diana Algra as the Vice President of the NNSA network. Update on Comcast Grantees Fom out of the five Comcast grantees submitted mid-year repmts in September, 2009. Nmthem Michigan University, working with Teaching Family Homes, will submit their mid-year report in December due to a revised timeline to coincide with the academic year. All grantees continue to work toward meeting their program goals. Year three funding will begin in Februmy 2010, with the RFP being released in Januaty 2010. Discussion Items : A. 2010 Census- Tiffany Aurora and Kyle Caldwell provided updates on MNA's activities around the 2010 census, including the recent announcement of grantees that will collectively receive $200,000 to support activities on the ground to increase participation in the census in hard-to-count communities. They also announced the creation of the Michigan Complete Count Committee, chaired by Lt. Governor John Cherry. Kyle Caldwell thanked Kelly Rossman and the Rossman Group for their pro bono services to MNA in crafting messages around the census for use with the public, media, nonprofits and the legislature. B. Health Care Reform Update- Kyle Caldwell repmted that the House version of health care reform that was passed the previous week did not include a provision that would benefit nonprofits as employers; however, the Senate versions do include such a provision. In step with the principles around health care reform that MNA adopted in September, he urged the committee members to join MNA in communicating to Michigan's Congressional members the �impottance of not asking the nonprofit community to bear a larger burden of the cost of health care reform that other sectors of society and to support the Senate provisions for small nonprofits. Special guest David Thompson (Director of Government Affairs for Independent Sector) echoed this sentiment and stressed the importance oflegislators hearing from the nonprofit community, that it is supportive of the Senate language relative to small nonprofits and wants to see that language in the final bill that is signed into law. C. IRA Charitable Rollover- David Thompson told the members of the committee that the IRA Charitable Rollover is currently set to expire on December 31, 2009, and at this point there is no commitment to passing an extenders package before the end of the year. He urged continued communication to the Michigan Congressional delegation in support of the IRA Charitable Rollover and asked members to sign the IS letter to Congress in suppott of the extension. MNA will continue its advocacy on behalf of this issue, and the Public Policy Committee moved to also send its own sign on letter to the Congressional delegation in suppott of extending the IRA Charitable Rollover. D. Temporary Pension Funding Relief- David Thompson provided background information on the issue of temporary pension funding relief. Nonprofits with defined benefit plans (accounting for approximately ten percent ofnonprofits nationwide) are facing the same crisis as the for-profit community, and that is the collision of the market crash with new federal rules and regulations that have created a huge shortfall in funds for defined benefit plans. That shortfall will increase from about $4 billion this year to over $140 billion fom· years from now. There is a relatively simple solution: allow employers to stretch out their contributions for the next year over a longer period of time. Currently there are two proposals pending before Congress, one to allow nine years for this payment and one to allow fifteen years. E. Federal Funding for CNCS- Paula Kaiser Van Dam reported that the funding for the Corporation for National and Community Service (CNCS) is continuing to flow through the Continuing Resolution (CR) that has authorized LHHS funds through December 18, 2009, and they are hopeful that full funding will be allocated when the full budget is approved by Congress. F. State Funding for MCSC- Kyle Caldwell and Paula Kaiser Van Dam announced that the Michigan Community Service Commission (MCSC) received a large appropriations cut this year, and they are carefully focused on the next appropriations cycle as any additional cuts would inhibit MCSC's ability to leverage federal funds. MNA will be calling on the members of the Public Policy Committee in the future to advocate on behalf ofMCSC funding for the next fiscal year. G.Nonprofit Caucus I SB 860- Tiffany Aurora reported that the Michigan Nonprofit Caucus now includes 74 members and she thanked the members of the Public Policy Committee for their outreach to recruit members. She also reported �that SB 860, one of the Caucus' legislative priorities for this session, has been introduced by Sen. Jason Allen and will address the issue of work permits for volunteer activities. The bill has been referred to the Senate Committee on Commerce and Tourism, which is chaired by Sen. Allen. MNA has met with the members of that committee and they are supportive of the bill; a hearing date has been requested and MNA is hopeful it will take place soon. Bluebacks have been requested for the two other legislative priorities of the Caucus and MNA is on track to have language for those bills in early 20 I 0. H. Update on Regional Councils- Tracy Hall gave an update on the work of the Southeast Michigan Regional Council, which continues to meet bi-monthly and focus its activities around educating elected officials about the nonprofit sector and advocating that the legislature formally address the state structural deficit by encouraging fiscally and socially responsible solutions. Linda Wendt gave an update on the Calhoun County Regional Council and announced that their next legislative breakfast will take place in March 20 I 0 in Battle Creek. I. Feedback on Nonprofit Lobby Day 2009- The committee suppmted the new format of Nonprofit Day, including carving time out specifically for legislative meetings, and made a motion to continue this format for 20 I 0. J.
